Frequently Asked Questions

FAQ

Popular Questions

Do I have to commit to a subscription?

No. Our simplest plan is Pay-As-You-Go, with no long-term commitment or contract.

Is there a free trial?

Yes. Your first five evaluations are completely free and available as soon as you sign in, with no payment or commitment required.

Can I use my existing intake and scores sheets?

Yes. You can import your existing intake forms and score sheets. If your clients already use a specific intake format that the software struggles to read, you can submit it to our support and we’ll train PsychScribe to recognize the format and accurately extract the information.

Does PsychScribe diagnose clients?

No. PsychScribe does not diagnose clients and does not assign DSM or ICD labels. It organizes the evaluation and can draft some report sections from the client’s intake, scores, and observations. Those drafts are a starting point only. They are not a clinical determination. Diagnostic impressions and recommendations are written by the licensed clinician.

Will this replace an EHR system?

No. PsychScribe does not handle client scheduling, calendars, insurance billing, or client communication. Instead, it is designed to work alongside the EHR system of your choice, focusing specifically on streamlining the evaluation and reporting process.

Software Questions

Is there any charge for administering tests directly in PsychScribe?

No. We’re continually expanding our catalog of well-researched tests that can be administered and scored entirely within PsychScribe at no additional cost to the practice.

Some proprietary tests, including many from publishers such as Pearson, cannot be administered within PsychScribe due to copyright, licensing, and test-security requirements. However, scores from these tests can still be entered or imported into PsychScribe and included in the evaluation.

We’ll continue adding useful, well-researched assessments to expand the tests available for in-software administration and scoring.

Will the reports reflect my clinical writing style?

Yes. Although the first reports are initially generated using the default settings, PsychScribe learns from the changes and edits you make before finalizing each report. Over time, the software adapts to your writing style, preferred phrasing, and reporting preferences. Each account has its own unique model that is trained to reflect that clinician’s style.

Can I add my own tests to the software?

Yes. Any client can submit tests to the global test catalog. Once approved, the test will be available throughout PsychScribe for inclusion in test batteries and score entry.

When possible, PsychScribe will also automatically calculate the appropriate percentiles and descriptive classifications for approved tests.

Is there training available?

Yes. We provide helpful training videos, and we can also schedule a live webinar to walk you through the software and answer your questions.

Security Questions

Is PsychScribe HIPAA compliant?

Yes. All data input into PsychScribe is treated as protected health information. PsychScribe handles that information as a HIPAA business associate to your practice. Your practice remains the covered entity; we do not use or disclose PHI except to provide the Service, as required by law.

Is there a Business Associate Agreement (BAA)?

Yes. During user enrollment, you’ll be required to review and sign a Business Associate Agreement (BAA) before using PsychScribe.

Is there two-factor authentication?

Yes. Two-factor authentication (2FA) is available as an optional added layer of security for every account.

Is my data encrypted?

Yes. Connections to PsychScribe use HTTPS, and client identifiers and clinical narrative are encrypted at rest. That includes name, email, phone, history, behavioral observations, and intake content. Those values are encrypted with AES-256-GCM.

Is data used with AI?

Yes. PsychScribe uses AI to draft individual report sections from the chart you are writing: history, behavioral observations, and test results. The draft is sent through Microsoft Azure OpenAI in a U.S. region, under your Business Associate Agreement. It does not go through a public ChatGPT or other consumer AI app.

The model receives the chart facts that section needs, such as answered intake items, scores, and behavioral observations. You write the diagnostic impressions and recommendations. Identifiable clinical data is not used to train public models and is not sold.
